{"id":1681,"date":"2020-01-27T23:17:26","date_gmt":"2020-01-27T23:17:26","guid":{"rendered":"https:\/\/quickbookexperts.com\/Blog\/?p=1681"},"modified":"2020-01-27T23:17:26","modified_gmt":"2020-01-27T23:17:26","slug":"resolve-data-damage-on-your-company-file","status":"publish","type":"post","link":"https:\/\/quickbookexperts.com\/Blog\/resolve-data-damage-on-your-company-file\/","title":{"rendered":"Resolve data damage on your company file"},"content":{"rendered":"<p class=\"sh-ext-lemon--p-UK6ra\">Learn how to resolve data damage on your company file.<\/p>\n<p class=\"sh-ext-lemon--p-UK6ra\">If you suspect data issues with your company file, the steps in this article can help you resolve minor data problems.<\/p>\n<h2 id=\"sh-toc-hId-1644616709\" class=\"sh-ext-lemon--h2-2clbo\">Step 1: Run the Rebuild Data utility<\/h2>\n<p class=\"sh-ext-lemon--p-UK6ra\">The first thing you will need to do is run the rebuild data utility:<\/p>\n<ol class=\"sh-ext-lemon--ol-1fbQ3\">\n<li class=\"sh-ext-lemon--li-xCOzz\">Go to the\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">File<\/strong>\u00a0menu, then select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Utilities<\/strong>\u00a0and\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Rebuild Data<\/strong>.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">On the QuickBooks Information window, select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Ok<\/strong>. Follow the prompts to save a backup. (<strong class=\"sh-ext-lemon--strong-1R_yp\">Note:<\/strong>\u00a0Your computer may display QuickBooks is not responding. However, as long as you can see your mouse cursor move, Rebuild is still ongoing. Wait for it to complete).<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Ok<\/strong>\u00a0when you see Rebuild has completed.<\/li>\n<\/ol>\n<h2 id=\"sh-toc-hId--907540252\" class=\"sh-ext-lemon--h2-2clbo\">Step 2: Run the Verify Data utility<\/h2>\n<p class=\"sh-ext-lemon--p-UK6ra\">The next thing to do is run the verify data utility:<\/p>\n<ol class=\"sh-ext-lemon--ol-1fbQ3\">\n<li class=\"sh-ext-lemon--li-xCOzz\">Go to the\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">File<\/strong>\u00a0menu, then select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Utilities<\/strong>\u00a0and\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Verify Data<\/strong>.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">If you see QuickBooks detected no problem with your data, select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Ok<\/strong>. You may continue using your company file.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">If Verify finds an issue with your data, you will be prompted to\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Rebuild Now<\/strong>\u00a0or\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">View Errors<\/strong>. Select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Close<\/strong>, then perform either of the following:<\/li>\n<\/ol>\n<h4 class=\"sh-ext-lemon--p-UK6ra\"><strong class=\"sh-ext-lemon--strong-1R_yp\">Review Last Verify\/Rebuild<\/strong><\/h4>\n<ol class=\"sh-ext-lemon--ol-1fbQ3\">\n<li class=\"sh-ext-lemon--li-xCOzz\">On the Product Information window, (press\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">F2<\/strong>\u00a0or\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">CTRL+1<\/strong>\u00a0on your keyboard) select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Review Last Verify\/Rebuild<\/strong>.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Find the error in the results screen.<\/li>\n<\/ol>\n<h4 class=\"sh-ext-lemon--p-UK6ra\"><strong class=\"sh-ext-lemon--strong-1R_yp\">Review QBWin.log<\/strong><\/h4>\n<p class=\"sh-ext-lemon--p-UK6ra\">Are you comfortable reviewing the QBWin.log or the QuickBooks.log file? If so follow these steps. If not, contact support for additional help.<\/p>\n<ol class=\"sh-ext-lemon--ol-1fbQ3\">\n<li class=\"sh-ext-lemon--li-xCOzz\">Find QBWin.log or QuickBooks.log files.\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Note:<\/strong>\u00a0If you are working with a support agent, go to the Tech Help window (press F2, then F3 on your keyboard). Go to the\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Open File<\/strong>\u00a0tab, highlight the log file, then select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Send log files to Intuit support<\/strong>. This will send the file to a repository that will enable the support agent to view your log files.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Check the log file.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\"><strong class=\"sh-ext-lemon--strong-1R_yp\">Windows:<\/strong>\u00a0Search (press Ctrl+F on your keyboard) for\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Begin Verify<\/strong>, then locate the most recent file (logs are in date order with the latest at the bottom).<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\"><strong class=\"sh-ext-lemon--strong-1R_yp\">Mac:<\/strong>\u00a0Scroll all the way to the bottom for the most recent Verify information<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Find the line that contains the LVL_ERROR, then search for it in the check\u00a0QuickBooks Learn &amp; Support site. (<strong class=\"sh-ext-lemon--strong-1R_yp\">Note:<\/strong>\u00a0Errors within both the Windows and Mac log files might not be exactly the same but are presented in the same format).<\/li>\n<\/ol>\n<h2 id=\"sh-toc-hId-835270083\" class=\"sh-ext-lemon--h2-2clbo\">Additional data damage troubleshooting for Mac<\/h2>\n<h2 id=\"sh-toc-hId--1716886878\" class=\"sh-ext-lemon--h2-2clbo\">Re-sort lists<\/h2>\n<p class=\"sh-ext-lemon--p-UK6ra\">Re-sorting the lists\u00a0puts your records back in order. If you have manually changed the order of a list, re-sorting it will undo your changes.<\/p>\n<h2 id=\"sh-toc-hId-25923457\" class=\"sh-ext-lemon--h2-2clbo\">Identify problem transactions using reports<\/h2>\n<p class=\"sh-ext-lemon--p-UK6ra\"><strong class=\"sh-ext-lemon--strong-1R_yp\">Run the Balance Sheet in Cash and Accrual Basis<\/strong><\/p>\n<ol class=\"sh-ext-lemon--ol-1fbQ3\">\n<li class=\"sh-ext-lemon--li-xCOzz\">Go to\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Reports<\/strong>\u00a0menu, then select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Company &amp; Financial<\/strong>, then\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Balance Sheet Detail<\/strong><\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Under\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Accounting method<\/strong>, then choose either\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Accrual<\/strong>\u00a0or\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Cash<\/strong>\u00a0for the Report Basis. If the total assets does not equal the liability and equity in each report, determine the transaction causing the problem.\u00a0<a href=\"https:\/\/quickbookexperts.com\/Blog\/2019\/11\/01\/restore-a-backup-of-your-company-file-in-quickbooks\/\">Back up your company file<\/a>, then delete and re-enter the transaction.<\/li>\n<\/ol>\n<p class=\"sh-ext-lemon--p-UK6ra\"><strong class=\"sh-ext-lemon--strong-1R_yp\">Compare the Account report totals to balances on the Chart of Accounts<\/strong><\/p>\n<ol class=\"sh-ext-lemon--ol-1fbQ3\">\n<li class=\"sh-ext-lemon--li-xCOzz\">Compare the total in the\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Open Invoices<\/strong>\u00a0report (<strong class=\"sh-ext-lemon--strong-1R_yp\">Reports<\/strong>\u00a0menu,\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Customers &amp; Receivables<\/strong>,\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Open Invoices<\/strong>) to the Accounts Receivable balance on the Chart of Accounts.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Also, Compare the total in the <strong class=\"sh-ext-lemon--strong-1R_yp\">Unpaid Bills<\/strong>\u00a0report (<strong class=\"sh-ext-lemon--strong-1R_yp\">Reports<\/strong>\u00a0menu,\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Vendors &amp;<\/strong>\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Payables<\/strong>, then\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Unpaid Bills Detail<\/strong>) to the Accounts Payable balance on the Chart of Accounts. If the total does not match the balance, check the transaction causing the problem.\u00a0<a class=\"sh-ext-lemon--a-vLJ1M\" href=\"https:\/\/quickbookexperts.com\/Blog\/2019\/11\/01\/restore-a-backup-of-your-company-file-in-quickbooks\/\" target=\"_blank\" rel=\"noopener noreferrer\">Back up your company file<\/a>, then delete and re-enter or modify the transaction.<\/li>\n<\/ol>\n<h2 id=\"sh-toc-hId-1768733792\" class=\"sh-ext-lemon--h2-2clbo\">Check specific accounts<\/h2>\n<p class=\"sh-ext-lemon--p-UK6ra\"><strong class=\"sh-ext-lemon--strong-1R_yp\">Uncategorized Expenses<\/strong><\/p>\n<p class=\"sh-ext-lemon--p-UK6ra\">Rebuild will often put out-of-balance transactions in this account as a way to &#8220;balance&#8221; the transaction. Generally, you should only see voided checks in this account unless you have been using it.<\/p>\n<p class=\"sh-ext-lemon--p-UK6ra\">Look for transactions other than voided checks (any transactions with amounts that have no item or account associated with them). Delete and re-enter those transactions. Determine what item or account should be on the transaction.<\/p>\n<p class=\"sh-ext-lemon--p-UK6ra\"><strong class=\"sh-ext-lemon--strong-1R_yp\">Undeposited Funds<\/strong><\/p>\n<ol class=\"sh-ext-lemon--ol-1fbQ3\">\n<li class=\"sh-ext-lemon--li-xCOzz\">From\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Activities<\/strong>, select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Make Deposits<\/strong>.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">All<\/strong>\u00a0(do not record the deposit at this time).<\/li>\n<\/ol>\n<p class=\"sh-ext-lemon--p-UK6ra\">The deposit total amount should equal the balance showing for Undeposited Funds on the Chart of Accounts. In addition, there should not be any deposits (negative amounts) showing on the deposit.<\/p>\n<h2 id=\"sh-toc-hId--783423169\" class=\"sh-ext-lemon--h2-2clbo\">Merge damaged accounts, items or names<\/h2>\n<p class=\"sh-ext-lemon--p-UK6ra\"><strong class=\"sh-ext-lemon--strong-1R_yp\">Merge damaged accounts<\/strong><\/p>\n<ol class=\"sh-ext-lemon--ol-1fbQ3\">\n<li class=\"sh-ext-lemon--li-xCOzz\">Go to the\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Lists<\/strong>\u00a0menu, then select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Chart of Accounts<\/strong>.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">While holding the\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Control<\/strong>\u00a0key, select the damaged account. Choose\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Edit Account<\/strong>.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Add an asterisk (*) to the name of the account, then select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Cancel<\/strong>.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Hold the\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Control key<\/strong>, then select any account.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">New Account<\/strong>.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Choose the appropriate type, then enter the original name of the problem account.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Select\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Ok<\/strong>.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Hold the\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Control key<\/strong>, then select the original account. Choose\u00a0<strong class=\"sh-ext-lemon--strong-1R_yp\">Edit Account<\/strong>.<\/li>\n<li class=\"sh-ext-lemon--li-xCOzz\">Remove the asterisk (*) from the account name.
