How to print 1099 forms in 2021

Learn how to print 1099 forms with the correct type of copy.

At the end of the year when filing your 1099 payments, you’ll want to print out copies of your 1099 and 1096 for each vendor or /contractor. This way they can file their taxes as well. If you aren’t paying for e-file with Intuit, you’ll want to print out copies for filing to the IRS of all your contractor payments.

Form 1099 is generally printed two or three to an 8×11 inch sheet. If at least one form on the page is correctly completed, you must submit the entire page. You must send the forms to IRS in a flat mailing (not folded). See also General Instructions for Certain Information Returns.

Note: Form 1096 is only required when you print and mail, not when you e-file. For more information on the different IRS forms, visit their General Instructions for Certain Information Returns document.

What are the different 1099-MISC copies for?

Copy A: For record purposes only. Needed for manual filing only; however, manual filing is not supported by this service.

Copy 1: Employer copy to file with state when applicable.

Copy C: For employer records.

Or

Copy 2: Contractor copy to be filed with state.

Copy B: For contractor’s records.

Which envelopes should I use to submit Form 1099?

Intuit offers 1099 Forms (two per sheet) with size 8 1/2″ x 11″ that includes compatible double-window envelopes with size 5 5/8” x 8 3/4″. You can order them and find out what QuickBooks versions they are compatible with here.

Note: Do not collate your forms before putting them into the printer.

How to print your 1099 forms in QuickBooks Online

  1. Purchase your 1099 Kit by mid-January so you can print.
    1. You’ll want to print and mail in time for IRS filing and contractor delivery deadlines (postmark by January 31).
  2. Prepare your 1099s in QuickBooks.
  3. When complete, choose the Print and mail option.
  4. Check if the forms align properly by selecting Print sample on blank paper. If it doesn’t look good, close the page and proceed to step 5. or If it looks good, select Print then Print again.
  5. If the alignment is not correct, choose No, it doesn’t line up.
  6. Align the form using the Horizontal and Vertical field. Once done, choose Print another sample on blank paper.
  7. Choose Print, then Print again.
  8. Mail copies to your contractors by the IRS delivery deadline.

Need to realign your printer, so the numbers print in their correct area?

  1. From the left menu, select Expenses then Vendors.
  2. Select Prepare 1099s.
  3. Select Let’s get started/Continue your 1099s.
  4. Review or enter the company name and address and the Tax ID then select Next.
  5. Select the box for payment types you made and the expense account you use for these payments then select Next.
  6. Review your contractor’s information and select Next.
  7. In the Check that the payments add up page, select Finish preparing 1099s.
  8. Select I’ll file myself.
  9. Go through the steps in the Select a form type and print a sample page, then select either:
    1. No, it doesn’t line up: If the info does not line up the form correctly. Selecting this will direct you to the Fine-tune alignment page where you can make horizontal and vertical adjustments to the form alignment.
    2. Yes, looks good!: If the form aligns properly.
  10. Go through the steps in the Select a form type and print page then select Next.
  11. Select Done to complete printing 1099s.

Still not printing correctly?

Other things you can try:

Sometimes your web browser can cause the issues on why your printer won’t print your 1099 forms correctly. Intuit recommends using Google Chrome and Mozilla Firefox. If you are using another browser, try switching. If printing still doesn’t work on these recommended browsers, try these steps.

Chrome:

  1. Open Chrome.
  2. Select the three vertical dots in the upper-right corner.
  3. Select Settings, then Show advanced settings.
  4. Under Privacy, select Content settings.
  5. Deselect Open PDF files in the default PDF viewer application.
  6. Select Done.
  7. Print your 1099s.

If it still doesn’t align, on the print window, select the dropdown for More Settings to verify Fit to page is not selected in the Scale dropdown.

Firefox:

  1. At the top of your Firefox web browser, select the menu icon, ≡, then Add-ons.
  2. Select Plugins, if you see PDF Browser Plugin 2.4.2., select the 3 horizontal dots, then select Never Activate.

If you are still having trouble try downloading as a PDF.

When downloading as a PDF, if Adobe is not the application that opens the document:

  1. Right click the PDF
  2. Select Open with and choose Adobe from the drop-down list.
  3. Print from Adobe where when in the Printer Settings, you can select Page Setup, then select the size of the paper.

How to print your 1099/1096 forms in Quickbooks Desktop for Windows

  1. Purchase your 1099 Kit by mid-January so you can print.
    1. You’ll want to print and mail in time for IRS filing and contractor delivery deadlines (postmark by January 31).
  2. Verify all 1099 information by viewing the 1099 reports:
    1. From the Reports menu, select Vendors & Payables, then choose 1099 Summary.
    2. If the figures appear incorrect, double-click the amount in the TOTAL column to view the individual transactions.
  3. Load enough blank 1099-MISC forms in your printer as you load your letterheads. Start by loading all of the Copy 1 forms. After you have printed all of the Copy 1 forms for each vendor, then load and print the Copy 2 forms.
    1. If you have a continuous-feed printer, you may need to adjust for the additional thickness due to the copies.
    2. If you have a page-oriented printer, it is simpler to print copies separately rather than all at once.
  4. From the File menu, choose Print Forms and then select 1099s/1096.
  5. In the 1099 wizard that opens, select Get Started.
  6. Select your 1099 vendors and choose Continue, then verify your 1099 vendor’s information, again, choose Continue.
  7. Map your accounts and edit thresholds if needed, then select Continue.
  8. Review payments for exclusions. You can view reports to show your included 1099 payments or excluded payments. When you’re done, select Continue.
  9. Confirm your 1099 entries after adjustments, If correct, select Continue.
  10. In the Choose a filing method screen, select the Print 1099s button.
    1. Select Print 1096s instead, if printing form 1096.
  11. Specify the date range for the forms then choose OK.
  12. Print a test form before printing final forms.
  13. Select all vendors you wish to print 1099s for and choose the Print 1099s button.
    1. Select Print 1096s instead, if printing form 1096.
  14. Confirm your printer settings then select Print.

How to print your 1099/1096 forms in Quickbooks Desktop for Mac

  1. Purchase your 1099 Kit by mid-January so you can print.
    1. You’ll want to print and mail in time for IRS filing and contractor delivery deadlines (postmark by January 31).
  2. Verify all 1099 information by viewing the 1099 reports:
    1. From the Reports menu, choose Vendors & Payables then select 1099 Summary.

  7. Map your accounts and edit thresholds if needed then select Next.
  8. You can choose to view reports to show your included 1099 payments or excluded payments. When you’re done, select Next.
  9. Confirm your 1099 entries after adjustments, If correct, select Next.
  10. Select the Print 1099s button.
    1. Select Print 1096s instead, if printing form 1096.
  11. Print a test form before printing final forms.
    1. Select at least one vendor.
    2. Choose the Show Details button if you do not see information to the right of the preview.
    3. Select Alignment.
    4. Move the black box to change the alignment of the text on the label. Check the preview in the upper left corner of the window to see the text’s new location. You can also nudge the text by entering values for X or Y (or use the Up and Down arrow keys to change the numbers).
  12. Select all vendors you wish to print 1099s for and select the Print 1099 button.
    1. Select Print 1096s instead, if printing form 1096.
  13. Confirm your printer settings then select Print.
