Update your Business Info in Online Payroll

Learn How to update your business name, address, tax info, and more in your online payroll service.Or Update your Business Info in Online Payroll

QuickBooks Online Payroll Enhanced and Intuit Online Payroll

Before updating your business information such as federal or state EIN and legal business name, you need to turn off the E-File & Pay feature first. Note that after updating the info, you need to turn the E-File & Pay feature on again and send us a new authorization form.

Updating your business name or “doing business as” name and filing address in your online payroll account do not require you to turn off E-File & Pay feature. Skip to Step 2: Update the info you need to change to update this info.

Step 1: Turn off the E-File and Pay feature

QuickBooks Online Payroll Enhanced

  1. From the Gear icon, select Payroll Settings.
  2. Select E-file and e-pay.
  3. Choose Manually with paper coupons.
  4. Select Next.

Intuit Online Payroll

  1. From the Setup tab, select Update Electronic Services.
  2. Select Add/Edit Electronic Services.
  3. Select Continue.
  4. Choose No, I want to manage my payroll taxes outside of my payroll account.
  5. Select Continue.

Step 2: Update the info you need to change

Update federal or state EIN

There are 2 reasons why you change or update federal or state EIN:

  1. Federal or state EIN was incorrectly entered
  2. Change of business entity – New EIN has been assigned to your business or the structure of your business has been changed.

If this is a change of business entity, see About changing your business entity for more details. If the account numbers were incorrectly entered, follow the steps below to update this information:

QuickBooks Online Payroll Enhanced

  1. From the Gear icon, select Payroll Settings.
  2. Under Taxes, select Federal Taxes or State Taxes.
  3. Enter the correct EIN, and select OK.

Intuit Online Payroll

  1. Select the Setup
  2. Under Taxes, select Federal Taxes or State Taxes.
  3. Enter the correct EIN, and select OK.

The legal business name in your online payroll account should match the IRS records for your business. Here’s how to correct your legal business name:

QuickBooks Online Payroll Enhanced

  1. From the Gear icon, select Payroll Settings.
  2. Under Taxes, select General Tax Information.
  3. Enter the correct Filing Name, and select OK.

Intuit Online Payroll

  1. Select the Setup
  2. Under Taxes, select General Tax Information.
  3. Enter the correct Filing Name, and select OK.

Update your “doing business as” name

 

“Doing business as” name is your public business name that customers see (a.k.a. trade name). If it’s different than your legal business name, which is used for tax purposes, here’s how to update it:

QuickBooks Online Payroll Enhanced

  1. From the Gear icon, select Payroll Settings.
  2. Under Business Information, select Contact Information.
  3. Enter the Business Name, and select OK.

Intuit Online Payroll

  1. Select the Setup
  2. Under Business Information, select Contact Information.
  3. Enter the Business Name, and select OK.

Update filing address

Before updating the filing address in your online payroll account, ensure that you have notified the IRS about this change. Your filing address should match the IRS records to avoid your tax forms from being rejected, and not receiving any important notices from the IRS. Use the Form 8822-B to notify the IRS.

QuickBooks Online Payroll Enhanced

  1. From the Gear icon, select Payroll Settings.
  2. Uncheck Same as business address
  3. Enter information in the fields, and select OK.

Intuit Online Payroll

  1. Select the Setup
  2. Under Taxes, select General Tax Information.
  3. Uncheck Same as business address
  4. Enter information in the fields, and select OK.

If you also need to switch the primary work location in your online payroll to another address, contact payroll support for assistance. Go to the Help section in your online payroll account, and click Contact us for support.

Step 3: Re-enroll in electronic services and send a new authorization form

Change of business information such as filing name and federal or state EIN requires you to send a new authorization form to turn on the E-File & Pay feature again.

To re-enroll and send authorization form:

QuickBooks Online Payroll Enhanced

  1. From the Gear icon, select Payroll Settings.
  2. Select E-file and e-pay.
  3. Choose E-pay and e-file (recommended).
  4. Select Next to proceed with the e-services interview.
  5. E-sign the authorization form.

Intuit Online Payroll

  1. From the Setup tab, select Updated Electronic Services.
  2. Select Add/Edit Electronic Services and then Continue.
  3. Click Yes, I want to electronically pay and file my payroll taxes through my payroll account.
  4. Select Continue to proceed with the e-services interview.
  5. At the end of the interview, Select Show My Forms to print the authorization form.
  6. Sign the form and contact us to upload the authorization form in your account. Go to the Help section in your online payroll account, and click Contact us for support.

QuickBooks Online Payroll Full Service and Intuit Full Service Payroll

We can help you update your business information in your online payroll account. This change requires you to send us additional info.

Update federal or state EIN

A business gets a new federal or state EIN when it undergoes an entity change. If this is the reason for the update, see Entity change process for IFSP/QBFSP for assistance. This process also applies when an incorrect EIN was entered (either accidentally or inadvertently) and payments have already been made.

If the update is to correct what was incorrectly entered and there’s no tax payments made, contact payroll support for assistance. Go to the Help section in your account, and click Contact us for support.

When your business undergoes an entity change, chances are, your legal business name also changes. If this happens, see Entity change process for IFSP/QBFSP for assistance.

If only the legal business or “doing business as “name changed (no tax ID changes of any kind)

 

Update filing address

Use the Form 8822-B to notify the IRS and Intuit if you changed your business mailing address or your business location. This is to avoid your tax forms from being rejected, and not receiving any important notices from the IRS.

Change your filing address in your online payroll account

  1. Complete the IRS Form 8822-B.
  2. Contact us to have the completed 8822b representative  uploaded to your account. Go to the Help section in your online payroll account, and click Contact us for support.
